It usually consists of initial condition, feasibility study, design, installations and maintenance phase. If we refer to SDLC, it is made of seven phases. System development will derive us to the proper way in developing a system.
Particularly, based on the right development processes, we can ensure that all tasks are followed, planned and scheduled in the proper manner. In this subject, we will also learn how to perform a good system development planning, methodology that can be used in the processes and how to be in control with the development itself. Nevertheless, the developer must totally understand about the need /'s of the client / user in a way to put the developed system into life. 2) INTRODUCTION TO THE ORGANIZATION 2.1) Background.
Sekolah Tuanku Abdul Rahman is situated at Ipoh, Perak. As one of the top boarding school in Malaysia, its main task is to deliver the best service in delivering information and knowledge in a form of education to their students so that their students can maintain a level of quality in education. Established in 1956, STAR was also the school that responsible to generate lots of current leader in many fields in Malaysia. Thus, two basic elements that involve are the service provider (management, teachers) and the client (student). The idea of choosing this school as a class project in ITC 712 (Information System Development & Methodology) arise since two of our group member are coincidently originate from this school (Senior~Junior Relationship), which is Mr. Shadil Akimi bin Zainal Abidin (Class of 1994) and Mr. Farhan bin Md. Fudzee (Class of 1997).
2.2) Objective Particularly, the main objective of any elite or upcoming smart school is based on what had been stated by our Education's Minister (1994-1999), Dato's eri Mohd Najib Tun Razak: 2.3) Function The main function of the organization is very clear, that is to educate secondary school by deliver knowledge and information in a boarding school environment and in the most efficient way to the customer. In this case, the customer is referred to the students of the school. Activities: o Administration o A concern of organizing and managing the school and all elements involved in its operation. o Teaching and learning o Concerns of delivering and receiving knowledge and information using some tools and materials that mat help to ease the processes. One of the most important things to be understood is knowledge is general and includes every relevant fields. o Profiling o Students are profiled, and their progress is monitored in a way to be an indicator to student's performance. Element that can be involved are information, academic progress, co-curriculum involvement and discipline's record of a student. 2.4) Management Organization's Chart 3) PROJECT TEAM BACKGROUND Our team consists of 3 members.

CD Interactive for Lunar Creative Work as a CD Promoter 4) REQUIREMENT ANALYSIS 4.1) Brief Overview 4.1. 1) Purpose of the System The system that is about to be developed is a fully computerized student's information system. This system is developed for the usage of the Sekolah Tuanku Abdul Rahman, Ipoh (STAR) management, in order to manage their student's information The computerized student's information system is for the school. This system has the ability in managing all the information about the student in this school, including particular details of the student, information about their relative, the involvement of the student in extra curricula activities and discipline record of the student.
This system hopefully will help the management of this school to improve their performances. IT also will make the access to the student data and information retrieval become faster and accurate. The resulting system shows that it can make the improvement in managing student's information system. Hopefully this system will help to boosts the used of computerized system in school management in the future. 4.1. 2) Scope of the System The scope of the system will only cover the basic operation of the school.
This limitation is to time constraint and lack of manpower in the team member. Therefore only basic operation will be considered for computerization. The below list is the scope that have been identified and chosen to be implemented. 4.1. 2.1) Student Information Scope This section or module covers the personal particular of a student and its caretaker. When a student registers himself to the school, he must fill in a form of his personal particulars. Information filled in the form will be keyed-in into the computer by the respective teachers or staffs.
The same goes when there are updates to his personal particulars such as change of address or telephone number. 4.1. 2.2) Academic Information Scope This section or module covers the academic results of a student for the whole years he is in the school. The results will be entered into the system directly by the teachers that teach or mark examination papers. These results can be printed and sent to the student parent for report card purposes.
Other reports can also be printed out to analyze a student academic performance. 4.1. 2.3) Co-Curriculum Information Scope This section or module covers the co-curriculum activities involved by a student. It stores information regarding a student involvement in society, sports, uniform force and special activities. 4.1. 2.4) Discipline Information Scope This section or module covers the bad behaviors done by the students. Any wrong doings by them will be recorded in the system.
The respective discipline teacher will store the data in the system and take action upon it. 4.1. 3) References To The Development Context For the development purpose and context, we will use some selected teachers, staff and students as reference to enhance further current understanding of operational workflow at the school. Among methods to use or utilize these references are such as interviewing them, setting questionnaire and analyzing through observation. By this way, a better input and firm understanding during analysis phase can be done and referred. As far until now, understanding of any workflow will be based on two of our group member since they are ex-student (old boy) of this school. Future references on confirmation latest info of our understanding will be based on the Subject Method Experts (SME) selected form the school members.
4.2) Current System and State of Affairs Basically, the current system and operational method are manual and conventional. Computerization part is only using Microsoft Office application in work related to management and daily office operation. Data are stored in Microsoft Excel files. There is no fast information retrieval and generated report based on some collection of data. All data have to evaluated manual. Searching record of student who has left the school is a problem and quite alarming.
Services to student are delayed just because of a lot of time taken to conduct or to execute a process. Ex: Report Cards issuing delays. 4.3) Proposed System Overview The proposed system will be developed based on the guideline in Software Development Life Cycle. It is to ensure that the system that is developed, good in quality and can satisfy the need of the users. In implementation, we will use using Visual Basic 6.0 for creating the application (front-end) and as for the database (back-end); we will use Microsoft Access 2000. This new proposed system, when deployed will be in an Intranet environment, so connectivity to share data will be available.
Therefore at least one PC must act as a server or data center. Clients PC that is connected to it will transact the centralized stored data. Therefore a multi-user environment will be achieved. All manual process will be computerized in order to save time and provide better service to the students. This will satisfy parties such as teachers, parents and not forgetting students. Based on the system scope mention just now, there will be 4 modules that will be deployed.
The modules are Registration Module, Academic Module, Co-Curriculum Module and Discipline Module. 5) PROJECT TITLE After having a brainstorming session in planning for this project, all of us team member also discuss of choosing the name for the system. The system title or name that have been decided is "STARIS", which is an acronym for "Sekolah Tuanku Abdul Rahman Information System.".
